EPOS Software for UK Corner Shops: VAT, Making Tax Digital and Stock Control

Choosing EPOS for a UK convenience store or corner shop? VAT threshold, less detailed VAT invoices, Making Tax Digital for VAT and Income Tax deadlines, and what to ask a supplier.

Many of the families running corner shops and convenience stores in Bradford, Birmingham, Manchester and London have relatives running shops in Rawalpindi and Lahore. The problems are the same in both places: tight margins, stock walking out of date, and hours lost to paperwork. The UK just adds HMRC deadlines on top. Here is what to know.

VAT: the numbers that matter

Quick facts: United Kingdom

VAT registration threshold£90,000 taxable turnover over a rolling 12 months
Register within30 days of crossing the threshold
VAT rates20% standard, 5% reduced, 0% zero-rated
Less detailed VAT invoiceAllowed for retail sales of £250 or less including VAT

Most corner shops sell a mix of zero-rated food and standard-rated items like soft drinks, confectionery and household goods. That mix is exactly why your EPOS needs the right VAT rate on every product, not one rate for the whole shop.

Making Tax Digital: two separate deadlines

Making Tax Digital for VAT already applies to every VAT-registered business. You must keep digital records and file VAT returns through compatible software.

Making Tax Digital for Income Tax is the newer one, and it affects sole traders who run a shop without a limited company:

  • Since April 2026: required if your qualifying income is over £50,000
  • From 6 April 2027: required above £30,000
  • From April 2028: required above £20,000
  • Quarterly updates to HMRC through compatible software

If your shop is a sole trader business, your sales and expenses need to be digital and up to date every quarter. A shoebox of receipts handed to the accountant once a year will not work any more.

What a good corner shop EPOS should do

  • Fast barcode scanning with the correct VAT rate per item
  • Age-restricted sale prompts for alcohol, tobacco and knives
  • Stock alerts and use-by tracking, so short-dated stock is sold or written off in time
  • Supplier price updates in bulk when the cash and carry changes prices
  • A daily Z-report that matches cash, card and contactless
  • Exports your accountant or MTD software can use

What to ask an EPOS supplier

  • How do VAT rates per product feed into my VAT return or accountant's software?
  • Is it compatible with Making Tax Digital, directly or through bridging software?
  • What does it cost per month after the first year, including card terminal fees?
  • Can I see stock and sales from my phone when I am not at the shop?
  • Who answers when the till stops on a Sunday morning?

Margins, stock and waste

Corner shop margins are thin, often a few pence on a can or a pack of crisps. The money is lost in the details: a promotion that the till does not apply, a price rise from the cash and carry that never reached the shelf edge, milk and sandwiches that go past their date. Good stock control is how a small shop protects those few pence.

Look for an EPOS that shows slow and fast sellers clearly, warns you about short-dated stock and lets you update a batch of prices in one go when your supplier list changes. That is the same problem Devsio ERP solves at our own counter in Rawalpindi, where supplier prices change every week.

Switching EPOS without losing a day's trading

  • Export your product list and barcodes from the old system first
  • Set VAT rates per product before you import, not afterwards
  • Load the new system after closing, then do a stock count of your top-selling lines
  • Keep the old till available for one day as a fallback
  • Check that the first week's Z-reports match your card terminal and cash
