From Khata Register to POS Software

How Pakistani shops can move udhaar and khata from a paper register to POS software, with a balance on every bill, credit limits and fewer payment disputes.

Udhaar keeps customers loyal, but the khata register is where many shops quietly lose money. Pages go missing, a payment gets written twice, and a regular customer swears he paid last month. Moving credit into your POS fixes most of this.

Why the paper khata fails

The register only knows what someone remembered to write. Bills and payments live in different places, so the balance is always a guess. When the owner is away, staff either refuse credit or give it without limits.

What changes with software

Every credit sale lands on the customer's ledger the moment the bill is made. Payments are recorded against the same account, and the running balance prints on the next bill. The customer sees the same number you see, so arguments drop.

Setting it up without a headache

Start with your top 30 credit customers. Enter their opening balance as of one date, not their full history. From that day, record every sale and payment in the software only. Keep the old register in a drawer for reference, but stop writing in it.

Rules worth setting

Give each customer a credit limit. Decide who on your staff can approve credit above that limit. Review the receivables report every week and call anyone who has not paid in 30 days.

Sending statements

A clean statement sent on WhatsApp gets paid faster than a phone call. Devsio POS keeps customer and supplier ledgers and can send bills to customers on WhatsApp, so a reminder takes a minute.
