Most shops already have their items somewhere: an Excel file, an old billing program or a supplier list. Moving that into new POS software takes a day if you prepare well, and a month of confusion if you do not.

Clean the list first

Remove duplicate items and items you no longer sell. Use one naming pattern, for example brand, item, size. Put each item's category and brand in its own column.

Decide on your columns

At minimum: item name, category, brand, cost price, sale price, barcode if any, and opening stock. Keep units consistent: pieces, metres, boxes.

Count opening stock on one date

Pick a quiet day, ideally a Sunday or after closing. Count physical stock and enter the real quantity, not what the old file says.

Import, then check 20 items

Import the file through the POS's CSV import. Then pick 20 random items and check name, price and stock on screen against the shelf.

Enter opening balances for credit customers and suppliers

Use the same cut-off date. Only the balance, not every old bill.

Run both for one day, then switch

Bill in the new system for a day while keeping the old file closed for reference. Fix any item that comes up wrong at the counter.

Devsio POS has CSV import and export in the product catalogue, and AI Studio can read prices from Excel, CSV, PDF or a photo. Send us your file on WhatsApp at +92 315 5073543 and we will tell you what needs cleaning before import.
