Hardware is where most POS setups go wrong. The software is fine, but the printer cuts half the bill or the scanner reads the wrong code. Here is what a small shop needs and how to set it up properly.

Barcode scanner

A USB scanner that acts like a keyboard is the simplest choice. It works with almost any POS. If your items come with printed barcodes, a basic 1D scanner is enough. Choose a 2D scanner if you also want to read QR codes or barcodes on phone screens.

Thermal receipt printer

Most shops use 80mm thermal printers. They are fast, need no ink, and paper rolls are easy to find. A 58mm printer is cheaper and smaller but fits less text per line. Check the printer driver works on your Windows version before you buy.

Cash drawer

A cash drawer usually connects to the receipt printer, not the computer. The printer sends a small signal that opens the drawer when the bill prints. Make sure the drawer cable matches your printer's port.

Setup tips

Install the printer driver first, then set it as the default printer for the POS. Print a test bill and check the shop name, alignment and paper cut. Test the scanner in a notepad before testing in the POS. Keep one spare paper roll at the counter at all times.

Label printer for loose items

If you sell items without barcodes, a small label printer lets you print your own barcodes from the POS.
